What we do

Four things, done properly.

Email hosting, website hosting, custom development, and white-label billing. No upsells, no enterprise tiers — you pay for the parts you actually use.

Email hosting

Business mailboxes on your own domain — properly configured for deliverability. DKIM, SPF and DMARC set up so your mail actually lands.

  • 3 mailboxes included as standard
  • IMAP, POP, SMTP — works on every device
  • Webmail, Outlook, Apple Mail, Gmail relay
  • Anti-spam, anti-phishing, encrypted at rest
  • Aliases, forwarding, vacation responders

Website hosting

Fast, secure managed hosting for the sites we build — and the sites you bring with you. Apache, PHP, MariaDB, with free SSL on everything.

  • Let's Encrypt SSL, auto-renewed
  • Nightly backups + DB restores
  • PHP 8.1 · MariaDB 10.5 · cron · sFTP
  • Cloudflare-ready or run direct
  • Uptime monitoring & alerts

Custom development

Bespoke websites, e-commerce stores, learner platforms, booking systems, billing portals. Built from scratch — yours to keep.

  • E-commerce with PayFast & EFT
  • Bilingual (EN/AF) sites and platforms
  • Custom CMS, no WordPress lock-in
  • PWA-ready, mobile-first
  • SEO foundations included

Billing & ops platforms

Run your invoicing, quotes, statements and recurring billing on a white-labelled platform — branded as yours, hosted on your subdomain.

  • Quotes & invoices with public links
  • Recurring services + auto-reminders
  • ABSA bank-statement matching
  • WhatsApp + email integrations
  • Statements with draft preview workflow

Why us

The advantage of being small.

We're not a hosting reseller, not a Wix template farm, not an offshore agency. One engineer, one server, and the will to make your business work properly online.

01

You talk to the engineer

No support tiers, no ticket queues. When you WhatsApp at 9pm because something broke, the person on the other end is the same person who built it.

02

Honest, transparent pricing

Public rates, no setup fees, no per-seat upgrades. You pay what's listed. If something is going to cost more, we tell you before we start.

03

Bespoke, not boxed

We write the code. Bilingual sites, AI transcription, custom billing flows, supplier-feed automations — things templates can't do, all in the toolbox.

04

You keep what you pay for

Your code, your designs, your data — all yours. Want to move hosts in three years? We hand over the keys and help you do it. No hostage situations.

Continuity & trust

One engineer. Many safeguards.

A small team is a feature, not a risk — but only if there's a real plan behind it. Here's exactly what protects your business when you trust us with it.

Nightly off-site backups

Every site, every database, every mailbox backed up nightly to a separate data centre. 30-day retention. Restore tested monthly.

24/7 active monitoring

Uptime checks on every site every minute. We get paged before you do. Average response time on critical alerts: under 15 minutes.

Escalation team in place

Operations partner (employee Dylan H.) handles inbound triage. Documented runbooks for every site. Nobody is the single point of failure.

Your data, your keys

Full handover docs ship with every project: codebase, database, DNS, SSL, mail config. If you want to move to another host, you can — we'll help.

Encrypted at rest & in transit

TLS 1.2/1.3 only. Mailboxes encrypted on disk. SSL on every domain via Let's Encrypt, auto-renewed. SSH access keys-only, no password auth.

Operating since 2024

53 live websites, 182 mailboxes, 71 domains — growing organically through referrals from happy clients. No call centres, no churn.

Month-to-month, no contracts

Cancel any time. No notice period, no exit fees, no "minimum term." If we're not earning your business every month, we don't deserve it.

"What if you get hit by a bus?"

Real answer: server keeps running on its own, ops partner takes over comms, full handover docs let any competent sysadmin step in. Worst case is days, not weeks.

The team & the stack behind it

Small team, strong roster of partners.

A boutique business doesn't mean an isolated one. Behind easymail sits a deliberately small operational team and a roster of best-in-class infrastructure providers we lean on every day.

Two-person operation by design — small enough to know every client by name, structured enough that no single person is a bottleneck. Documented handover means anyone with admin access can step in to keep the lights on if needed.

We build on top of mature, battle-tested infrastructure — not bleeding-edge SaaS that might pivot next quarter. Every partner above has been running production workloads for over a decade.

How we work

Four steps. No surprises.

No agency dance, no discovery decks, no procurement portal. You message, we chat, you get a quote within 24 hours, we build it.

01

You message us

WhatsApp, email, or the form below. Tell us what you need — even if it's vague. We'll come back with the right questions.

02

You get a quote

A clear, written quote with scope, timeline and a single price — no per-hour bills, no scope-creep surprises. You either say yes or you don't.

Within 24 hours
03

We build it

50% upfront, the rest on delivery. You see progress as it happens — no two-month black box. Changes mid-build are normal, not an upsell.

We host & support it

Sites we build live on our hosting from day one. SSL, email, backups, monitoring — all running. Maintenance retainer is optional, not pushed.

Behind the curtain

One engineer. A server. Your business online.

I started easymail because the South African small-business web ecosystem was — and largely still is — a maze of upsells, lock-ins and offshore support. I wanted to do hosting the way I'd want it done for my own business: properly configured, transparently priced, and answered by a human who understood the technology.

Today easymail hosts 53 websites and 182 mailboxes for retailers, schools, trades, attorneys, recruitment portals, and platforms used by thousands of South African learners. Every site is set up by hand. Every mailbox is configured to land in inboxes. Every client has my mobile number — and uses it.

FAQ

The questions we actually get asked.

Real answers, not legal hedge. If your question isn't here, just message us — we'll add it.

Where is the server physically located?

Our primary server is at Hetzner's Falkenstein data centre in Germany. Top-tier infrastructure, redundant power, 100Gbps uplinks. Latency from South Africa is typically 180-220ms — fast enough that you won't notice for typical site traffic, and significantly cheaper than equivalent SA-located hosting.

For platforms where ultra-low latency matters (live exam systems, for instance) we deploy to South African providers — happy to discuss what's right for your use case.

What happens if I want to leave?

You take everything with you. We hand over the codebase, the database, the email setup, and DNS keys — and help you migrate to your next host if you want. No exit fees, no lock-in clauses. The hosting is month-to-month, so you can leave any time without notice.

Do you do WordPress?

We host WordPress sites (we manage a few). But we don't build in WordPress unless there's a strong reason — most of our custom builds are hand-coded PHP, which gives clients faster sites, fewer security headaches, and no plugin sprawl. For a content-heavy site that needs daily edits by non-technical staff, WordPress can make sense. We'll tell you honestly which fits your case.

How much does a custom site cost?

Anywhere from R5,000 for a polished one-page site to R50,000+ for a custom platform with bookings, payments, multi-language, ATS-style workflows or AI integration. Most small-business websites land between R8,000 and R20,000 once-off, plus R100-R300/month hosting.

We give you a single fixed quote with scope listed up front — no per-hour surprises.

Will my email actually land in inboxes?

Yes — that's basically the reason we exist. Every domain we host gets DKIM signing, SPF and DMARC records set up properly. We run our own postfix + opendkim stack, and we monitor deliverability across the 70+ domains we host. If you're moving away from a provider whose mail keeps landing in spam, that's a problem we know how to fix.

What if something breaks at 11pm on a Saturday?

WhatsApp the engineer — Dylan personally. There's no support tier, no ticket queue. We're monitoring uptime in real time, so we usually know before you do. Critical issues (site down, mail down) get fixed within an hour. Non-critical fixes happen the next business day.

Are you VAT-registered?

No. We're a sole-trader business below the VAT threshold, so what you see on the pricing page is what you pay — no 15% added. If you need a VAT-compliant invoice for your own claims, the statements we issue work for general expense records but won't include input VAT for you to claim back.

Do I need to register a domain through you?

No — bring your own domain or buy one elsewhere. We'll point it at our nameservers and handle DNS for you free of charge. If you'd like us to register a .co.za (R250/year) or .com (R350/year) on your behalf, we can do that too.
